Move into SyncCatalog without stopping the work.
Implementation is about more than importing rows from a spreadsheet. We help organize the transition from your existing catalog, files, metadata and workflows into a working SyncCatalog environment your team can actually use.
A controlled path from your current system to go-live.
1. Discovery
We review how your organization currently manages catalog data, rights information, files, clients, pitches and licensing activity.
2. Data assessment
Existing spreadsheets, exports and other source data are reviewed so we can identify fields, inconsistencies and migration requirements before import begins.
3. Mapping
Existing metadata and business fields are mapped into the appropriate SyncCatalog structure rather than forcing your data blindly into generic columns.
4. Migration
Catalog records and supported business information are imported into the new organization and prepared for review.
5. Configuration
Team access, roles, organization settings and relevant workflows are configured for the way your operation works.
6. Validation
Imported information is reviewed before the platform becomes the team's production system.
7. Training
Your team is introduced to the workflows they will actually use so implementation does not end with a database import.
8. Go-live
Once data and workflows are validated, the organization moves into normal SyncCatalog operation with support available as the team settles into the new system.
We start with what you already have.
You do not need to rebuild your catalog before implementation. The goal is to understand the systems and information your team is already using.
Catalog data
Existing spreadsheets, CSV exports, database exports or other structured catalog information available to your organization.
Metadata & rights
Track metadata, ownership information, writer and publisher data, identifiers, clearance information and other fields you currently maintain.
Media & files
Audio and supporting files that should become part of the working catalog, subject to the agreed migration scope.
Your workflow
A clear picture of who does what today — including catalog management, pitching, licensing, submissions and client work.
The technical transition should not become your team's new job.
Field mapping
We identify how existing data corresponds to SyncCatalog's catalog, rights and operational fields.
Import preparation
Source information is evaluated before import so obvious structural problems can be identified instead of silently carried into the new system.
Organization setup
The customer's SyncCatalog organization is prepared with the appropriate initial configuration and team structure.
Validation support
We work through migration results with the customer before the old workflow is treated as retired.
Your existing operation does not need to disappear overnight.
A successful migration should reduce risk, not create it. Existing systems can remain available during validation while the SyncCatalog environment is checked against source information.
The point at which a previous spreadsheet, database or workflow is retired should come after the customer is comfortable that the information needed for day-to-day work is available in SyncCatalog.
Migration also reveals what the old system was hiding.
Long-running catalogs often contain duplicate records, inconsistent names, missing ownership information, incomplete metadata or fields that have been used differently by different people over time.
Implementation gives the organization an opportunity to identify those issues before they become part of the new operating system. SyncCatalog does not assume that every source record is automatically correct simply because it existed in the previous system.
Software only works when the team understands the workflow.
Users & roles
Team members are established with access appropriate to their responsibilities.
Workflow orientation
Training focuses on the parts of SyncCatalog each person actually needs to use.
Operational handoff
The goal is for normal catalog and licensing work to continue inside the new system without requiring permanent technical assistance.
Support after launch
Questions that arise once the team begins real production work can be handled through SyncCatalog support.
Every migration is scoped before assumptions are made.
Catalog size alone does not determine migration complexity. Multiple legacy systems, unusual metadata structures, incomplete rights data, duplicated records, custom databases or very large file collections can all affect implementation.
Those requirements are reviewed during discovery so the customer knows what the transition involves before production migration begins.
Show us what you're working with.
If your catalog currently lives across spreadsheets, databases, folders or several different applications, we can review the existing setup and discuss a practical path into SyncCatalog.
